Maintain and update color library, vendor samples and price lists on a regular basis. -Any and all other duties necessary to maintain smooth operation of the design studio.-Process orders in Oracle for medical devices needed in surgeries daily. -Maintain customer accounts by reconciling invoices and applying items to accounts receivable. -Communicate directly with sales force, internal departments and clients to pursue and resolve issues related to orders, accounts receivable and returns. -Maintain customer pricing in ERP system, including entering contracts as required.·Create all submital and close-out documents, including reviewing specifications and finish plans. ·Maintain required documentation in job folders and on the computer system to support the projects. ·Create, coordinate and track all contracts, change orders, purchase orders and billings. ·Coordinate job schedules with client and General Contractor and/or supervisor. ·Communicate with mills and other distributors to determine availability of products. ·Perform consistent, timely follow-ups with suppliers, tracking shipments to meet project deadlines. ·Make freight arrangements for products in the most expeditious and cost effective manner.·Prepare in excel, expedite and monitor logs for tracking of contract documents, submittals, request for information, and change orders. ·Prepare all monthly reports using MS Word. ·Maintain and review status of all project-related correspondence. ·Evaluate bids for accuracy and completeness. ·Communicated with all levels of management to direct, plan, coordinate, and execute work, as well as, determine material handling and storage logistics. ·Act as liaison between Project Mangers and Owners, Architect and Project Manager as well as between Project Manager and subcontractor. ·Catalog data and organize plans and specifications. ·Track corrections/changes in documents. ·Obtain all closeout materials and warranties, final pay applications, lien releases, Operations and Maintenance Manuals, and coordinate Owner Training of Equipment.·Design layouts, create specification sheets and develop drawings for new/special products ·Assist sales reps and dealers with product knowledge.·Assist Project Manager with all paperwork required in the construction process from start to finish. This includes but is not limited to creating bid packages, subcontract agreements, change orders, purchase orders, performance and payment bonds, pay requests, cost transfers, budget revisions, etc. utilizing MS Office. ·Verify and code invoices, update logs for all of the above-mentioned tasks. ·Act as a liaison between Subcontractors and Project Managers.
